When moving someone into an apartment, make sure that all of the following steps have been completed:
- Application fees entered into ResMan.
- All adult applicants have been screened and Accepted. If one applicant is Denied, then they are all Denied and cannot move in. [Do not modify their application to remove the Denied individual, because they will all move in together!]
- A copy of the Application, income/employment verification and Screening results have all been uploaded to the applicants Documents section of ResMan.
- Required deposits entered into ResMan.
- All adults named on the lease have signed the lease. See also How to Create and Sign eLeases.
- For an employee living on-site, they must agree to and complete the Employee Lease Addendum, a copy of which must be included in their lease file.
- Upload a copy of the entire lease and any addendum to their Lease Documents folder in ResMan. [Note that it is recommended that you select Show in Resident Portal with these documents.]
- For properties where individuals are responsible for their own electricity service (e.g. The Village and The Monterey), you have sent an email sent to vip@greenmountain.com requesting service disconnect in property name. See below for details.
- Verify with the new tenants that electricity service has been switched over to their name. [A verbal acknowledgment is fine but this at least makes sure that they know that they need to switch on electricity.]
- Applicants moving in at/near the end of the month (e.g. after the 25th) must pre-pay their first full month’s rent before move-in.
- All occupants have been moved into the unit in ResMan. Make sure that the balance on the account is $0.00 (meaning everything entered and paid correctly) and the deposit variance is $0.00 (meaning the refundable, non-refundable deposits have all been entered and settled correctly).
Only after completing all of these steps can you give the new tenants the keys to the unit.
Note that these steps apply to everyone, even employees moving on-site. Absolutely no one should be allowed to move-in until this process has been completed.
Connecting/disconnecting electricity service to vacant units
Master account numbers with Green Mountain Energy:
- The Village on West Irving: 50454070
- The Monterey: 50651158
To connect or disconnect electricity service for one of the vacant units you need to send an email request to vip@GreenMountain.com, mentioning our master account number for the property – see above – and the address and unit number for the unit to be disconnected (or reconnected). For example, for some of the units at The Village we used this form:
– 2102 W GRAUWYLER RD APT 117
– 2201 W IRVING BLVD APT 204
– 2119 W IRVING BLVD APT 220
Though it is also possible to make these changes to service through their portal, I would not recommend it. If you go through the portal to cutoff electricity in our name it take 4-5 days. Whereas if you email vip@greenmountain.com it is done in 24 hours.
Also, please do not request that they reset the portal password so that you can access it. You don’t need it. It is slower than the email solution and it just causes accounting delays/problems when it comes time to download the bills.
